Facilities and Health & Safety Manager
Our client, one of the country’s leading Royal Societies are looking for this role to work at their head office in the heart of the west end in London.
Maxwell Stephens, the UK’s leading facilities management recruitment company, has been given the responsibility by our client to find the right candidate to become their new head FM & H&S Manager, taking the lead on all Facilities and health and safety related matters for visitors, staff, and sub-contractors.
This role also entails management of all the client’s sites, which include cutting-edge conferencing space to ensure legal and licence related compliance including the performance of outsourced maintenance and cleaning contracts and the use of CCTV.
Performing H&S audits as scheduled, you’ll lead and review H&S committees, ensuring its continued relevance in the safe management of the client’s staff and visitors. Every quarter, you’ll schedule, agenda-set, and chair H&S meetings and be the person responsible for making certain that actions and recommendations are followed through.
In this role, you’ll act as the client’s day to day liaison with contractors, acting as the channel of communication between them and departmental managers, including follow-up of logged job status. When needed, you’ll manage insurance inspections for our client’s insurance company.
You’ll manage the performance of non-service PPM repairs and renewals work with an eye to ensure completion to exact specification. You’ll receive, evaluate, and approve request for repairs and maintenance outside the scope of the FM PPM contract for values of up to £2,000 – when higher, you’ll refer the work to the Ops Directors and retained M&E consultant for evaluation and approval.
You’ll direct outsourced contractors’ performances on plant, mechanical and electrical services. You’ll maintain and manage the “Shield Yourself“ system, the hygiene contract, the cleaning services contract, and the updating of the asset register and CAD plans of the building.
Working with the CEO, you’ll take the initiative on H&S policy throughout the business, making sure that all documentation is current and compliant. You’ll advice and induct employees and visitors on H&S and its best practice, resolving issues when needed. You’ll direct and organise related training, including First Aid, Fire Warden, Manual Handling, and Refresher courses.
RAs and SSOWs
You’ll direct the maintenance and auditing of risk assessments (RA) across the business – where necessary, leading on the creation and development of RA and SSOW procedures (including medical related assessments). You’ll review RAs and SSOWs in line with departmental activities and employee training record cards, letting directors know of any corrective action that is required and ensuring compliance.
Fire Safety and First Aid
You’ll have responsibility for reviewing and updating Fire RAs and policy documents to ensure compliance every quarter. In conjunction with departmental directors, you’ll arrange suitable and sufficient Fire Wards are present for our client (including training). Fire evacuation drills take place twice a year and, upon their completion, you’ll advice on the steps needed to implement any corrective actions.
You’ll manage the purchasing of and accounting for First Aid Suppliers and PPE plus manage fire warden and first aider duty documents, amending where necessary.
Other Role Responsibilities
You’ll manage capital projects as required, attending project meetings for works carried out between 2016 and 2017. You’ll also assist with the planning, cost plans, and initiation of building works alterations, enhancements, and conversions as required.
For internal moves of departmental employees, you’ll initiate discussion with head of department over the requirements to fulfil the move or transfer. You’ll maintain a key register (taking responsibility for the provision and control of keys) and for the CCTV system, making sure it is used in the correct and prescribed manner.
With a minimum BIFM Level 4 qualification and IOSH Managing Safely certificate, you’ll demonstrate significant experience in leading, reviewing, implementing and auditing H&S policies and procedures across a company (within a FM role).
You’ll be able to show that you’ve successfully managed and reviewed outsourced services, undertaking and advising others on how to undertake RAs. You have an excellent working knowledge of all related legislation and have a good understanding of Plant Engineering and associated infrastructures.
