IPG Facilities manage the Directly Managed Multi-tenanted properties in the Corporation’s investment portfolio. Around 80 properties are grouped together into “Complexes” and comprise a variety of commercially let premises throughout the City & West End, with a number of prestigious tenants paying commercial rents and service charges and demanding a very high level of service.
The Facilities Supervisor is the Corporation’s representative on site at a Building or Complex of buildings as a deputy/assistant to the Building and Complex Managers dealing with tenants, visitors, staff and contractors. Their core role is to ensure the buildings are secure by carrying out regular building patrols as well as being clean, and in good repair. Dealing with tenants’ queries, issues and complaints or ensuring they are forwarded to the appropriate person is an important part of this posts duties. During a night shift the Supervisor will be the first point of contact for out of hours incidents at other IPG properties, liaising with the CoL call out staff as required.
Experience is required of the full range of facilities management and customer services. You will need to have the ability to time manage while prioritising work, problem solving and making decisions when the situation demands it. This is alongside a working knowledge of statutory regulations (including but not limited to Health & Safety, Fire Safety, and Manual Handling) and a requirement to understand and abide by the Corporations policies and procedures.
You must be flexible, with a good level of spoken and written English and proficiency in I.T. including Outlook, Word and Excel. Excellent interpersonal skills are essential with the ability to develop relationships across all disciplines and levels, both within the Corporation and externally e.g. tenants and contractors. Previous experience of night working and building or facilities management is preferable.
81 hours per fortnight – incorporating alternating weeks of 12 hour day and night shifts. There will be a requirement for some weekend and Bank Holiday working with payment at the appropriate rate.
The post also requires a willingness to work a variety of shift patterns, which may change at short notice and which may include occasional overtime. The role is diverse and includes supervising staff, carrying out Health & Safety inspections, monitoring of cleaning materials, dealing with contractors, liaising with tenants, checking the security of the premises and participation in the out of hours call-out scheme, for which additional payment is made.
