The British Geological Survey (BGS) is an applied geoscience research centre that is housed in UK Research and Innovation (UKRI) and affiliated to the Natural Environment Research Council (NERC). It is a world leading geological survey that provides a core science mission to inform government of science related to the subsurface and its interfaces and also undertakes applied research for solutions to earth and environmental processes, both in the UK and globally. It is funded directly by UKRI as well as through research grants and via private sector contracts.
BGS has an annual budget of approximately £60 million and employs 650 people. It has two main sites, a head office in Keyworth near Nottingham and the Lyell Centre, which is a joint collaboration with Heriot Watt University in Edinburgh. BGS works with more than 150 private sector organisations as well as having close links with 40 universities and sponsors approximately 100 PhD students each year.
A vacancy has arisen for an experienced Estates Helpdesk Team Member to join the BGS Facilities Management Team at its headquarters in Keyworth, Nottingham.
About the role
With proven experience of working in a Facilities Management environment, your work, alongside the other helpdesk team members, will include:
- acting as the first point of contact for all Estates customers, both internal and external and other Keyworth site tenants
- using a specialist Facilities Management database to manage work streams within the Estates department
- processing, delivering and collecting post to the Keyworth site
- administration of the organisation’s vehicle hire contract
- administration of the organisation’s meetings/conferences facilities and assisting BGS marketing/events management staff with the preparation and packing up of large events where necessary
- processing of invoices and ensuring clear and accurate records are kept for all payments and commitments
- administration duties on behalf of the wider Estates team.
You will also be expected to:
- carry out general support duties for the Estates and Facilities Management teams as required
- provide any other required support appropriate to the role.
It is essential that you have a Facilities Management (FM) qualification and/or the equivalent experience of working within a fast paced FM environment.
You must be familiar with specialist FM software and have experience of using Microsoft Office products.
You will place customer service and service delivery at the forefront of your priorities in order to ensure continuity of business to the organisation.
You should therefore have demonstrable experience of working in a customer services environment and possess excellent communication skills as they will be required to deal with a wide range of people, including internal/external customers and contractors.
In addition to being a team player, you must be capable of working unsupervised, demonstrating flexibility, initiative and taking personal responsibility for your work.
